Refund / Cancellation Policy

Policy governing membership payments, cancellations, duplicate transactions and eligible technical payment refunds.

1. Overview & Purpose

This Refund and Cancellation Policy governs the payment of membership, registration, and administrative processing fees on the official web portal of the National GST Association (NGSTA) (Registration No.: KUA/THANE/2305/2026), accessible via www.ngsta.in.

By submitting your application and completing payment on our Platform, you acknowledge that you have reviewed, understood, and agreed to the terms outlined in this policy.

2. General Non-Refundable Policy

All membership enrollment, registration, and administrative fees paid to the National GST Association are strictly non-refundable and non-transferable.

Why are fees non-refundable?

  • Instant Digital Delivery: NGSTA utilizes a fully automated, server-verified registration architecture. The moment your transaction is confirmed on our secure servers, your unique sequence-based Member ID is generated, and your personalized digital Certificate of Membership is rendered and made available immediately for download.
  • Immediate Allocation of Resources: The issuance of credentials grants instant access to exclusive member benefits, digital knowledge archives, technical updates, and directory allocations, incurring irreversible administrative and server provisioning costs.

Therefore, once a membership certificate has been generated and digital credentials have been provisioned, no cancellation requests or refund claims will be entertained for reasons such as change of mind, inability to attend events, or personal circumstance.

3. Membership Cancellation

  • Voluntary Termination: Members may request to deactivate or cancel their membership profile at any point during their active term by submitting a written request to info@ngsta.in.
  • No Prorated Refunds: Deactivation or voluntary cancellation of a membership before the completion of the 1-year validity period does not entitle the member to any partial, prorated, or full refund of fees previously paid.
  • Revocation for Violation: If a membership is suspended, revoked, or terminated by the association due to submission of forged documentation, ethical misconduct, or breach of our Terms and Conditions, all associated fees stand completely forfeited.

4. Exceptions: Technical Glitches & Duplicate Payments

We maintain an exception strictly for verified technical failures and accidental payment duplications occurring at the payment gateway level:

A. Accidental Duplicate / Multiple Transactions

  • If your bank account or payment method was debited more than once for the exact same registration attempt due to a network lag, portal refresh, or payment gateway duplication, the duplicate excess transaction(s) will be refunded.

B. Payment Debited but Registration Not Generated

  • In rare situations where your bank account was debited successfully, but due to a server communication breakdown no Member ID was assigned and no membership certificate was generated, our system will review the logs. If the application cannot be fulfilled, the amount will be processed for refund.

5. Refund Claim Procedure & Timelines

To claim a refund under Section 4 (Technical Glitches / Duplicate Transactions), the applicant must follow the procedure below:

  1. Submission Window: Submit a formal refund request within seven (7) calendar days from the transaction date.
  2. Email Destination: Send an email from your registered email ID to info@ngsta.in with the subject line: "Refund Request - Duplicate/Failed Transaction - [Your Full Name]" .
  3. Required Documentation:
    • Full Name and Registered Mobile Number
    • Transaction Reference ID / Payment Gateway Order ID
    • Date and exact time of the transaction
    • Bank statement or screenshot demonstrating the deduction
  4. Verification: Our accounts cell will reconcile the transaction logs with our payment gateway partner within 3 to 5 business days.
  5. Credit Timeline: Once approved, the refund will be credited back exclusively to the original payment source (bank account, UPI, or card) within 5 to 7 business days, subject to your issuing bank’s standard clearing timelines.

6. Chargebacks & Payment Disputes

Members and applicants are strongly encouraged to contact the NGSTA administrative helpdesk directly before initiating a chargeback or dispute with their credit card company or banking institution. Fraudulent or unjustified chargeback claims initiated after successfully receiving a membership certificate and unique Member ID will result in the immediate revocation of membership and potential restriction from future association services.

7. Policy Amendments

The National GST Association reserves the right to revise, update, or alter this Refund and Cancellation Policy at its sole discretion without prior individual notice. Any modifications take effect immediately upon being posted on this page.
